Templafy is maintained and managed via a simple, intuitive web interface. It requires no technical skills to handle templates and company images, etc. IT support is no longer required every time content is updated. All changes are handled centrally and rolled out throughout the company or to specific users immediately. Major projects, such as rebranding of the company, can be launched internally at once – the same applies to small but important changes, e.g. texts, KPIs or images. Up to 5 administrators are included in the price.

Control in detail who has access to which content by assigning permission levels to individual users, teams or entire departments. Determine who should have access to which content by filtering access to templates and assets according to user profiles. IT teams don’t need to manage users, and any user can be assigned admin permissions once they gain access by an existing admin. Meanwhile, employees will only see and have access to content that’s relevant for them, reducing the risk of confidential or sensitive information being shared, while saving users time. Every time an employee creates a document through Templafy it takes into account who they are and automatically optimizes and builds the document for that specific person. Typical examples of dynamic elements handled by Templafy are: inserting address information, legal disclaimers, logos, user profile information, company-specific document data, applying the right color theme, translating documents and setting the correct spell-check language. Automating these processes saves the user a lot of time and effort, minimizes errors, and help them comply with the company’s visual identity. User profiles can be auto-generated by integrating to an organization’s Active Directory so employees do not have to do this step manually. If an employee needs to create documents on behalf of several departments or in different languages, they can easily set up multiple user profiles. Templafy makes it easier to change addresses, logos, etc. and instantly send updates to the entire company. It is all handled through the intuitive Templafy online administrator platform. The need for IT involvement has been removed and all templates and documents are available in Office, online or Office365.

The company’s addresses are not embedded in the template files – but is a separate file. This means that if you want to change an address you only have to make the change in one place in order for it to be implemented on all business templates. Your administrators can even add and correct addresses, logos, translations, etc. themselves.

Templafy reduces the amount of time you use to manage your templates. Your templates only exist in one version because variable content, such as logos and addresses, is handled outside the templates. If you need to correct an address in all your templates, then the administrator only have to correct the address in one place.

Validator keeps an eye on slides that have been flagged as important by the company. It ensures that presentation slides stay up-to-date after they have been locally saved (by the end-user) and later reopened for re-use. Slides enabled for validation in Templafy are detected by the Validator when reopening an old presentation. If there is a newer version of the slides in Templafy, the change is automatically detected, and the user is asked to review the updates.
